1. General provisions

This Privacy Policy describes how the website symbolsmile.ru (the "Website") collects and processes personal data of its visitors. Processing is carried out in accordance with Federal Law of the Russian Federation No. 152-FZ "On Personal Data" of 27.07.2006 and other applicable Russian regulations.

2. Personal data we collect

The Website processes the following data, voluntarily provided by you when submitting a booking form:

• Full name
• Phone number
• Free-form comment (optional)

Your IP address is processed at the moment of submission only — to rate-limit requests and to run the "not a robot" check. Neither the IP address nor your browser's User-Agent is stored with the request.

The Website does not collect any medical or health data. Please do not describe your health in the comment field — a phone call or the visit itself is the place for that. Medical information is processed exclusively in person at the clinic with separate written consent.

3. Purposes of processing

• Processing booking requests and contacting you to schedule a visit;
• Replying to enquiries you submit through the form;
• Keeping a record of enquiries: that a request arrived, which member of staff is handling it and how it ended, and recognising repeat enquiries from the same person so you are not asked the same things twice;
• Maintaining the security and integrity of the Website.

4. Legal basis

Your consent (granted by submitting the booking form), the necessity to perform a contract requested by you, and applicable Russian legislation including 152-FZ, 149-FZ.

5. Storage and retention

Booking requests are stored on the Operator's server inside the Russian Federation (Yandex Cloud) and used for the purposes listed in section 3. They are kept for 12 months from the date of the request, after which the record is deleted automatically.

A copy of each request is also delivered to the clinic's staff two ways: a Telegram notification and an email to the clinic's own mailbox. Those copies live outside the Website, and deleting the record from the Operator's system does not reach them.

Mail sent to addresses at this domain is not stored on the Operator's server — it is forwarded to the Operator's mailbox immediately. The mail server's system log does record the sender and recipient addresses (not the subject or the body); that log is kept for about four weeks and then deleted automatically.

Server logs are retained for the period strictly necessary to investigate security incidents.

You may withdraw your consent at any time by writing to the address in section 11. The data is destroyed within 30 days of such a request; we reply within 10 working days.

6. Transfer to third parties

To deliver booking notifications and provide multilingual support, the data described above may be transmitted to:

• Yandex LLC — the Website's entire technical infrastructure, inside the Russian Federation: Yandex Cloud (hosting, storing requests, the domain's DNS, and receiving inbound mail on the Operator's own server), Yandex Cloud Postbox (sending the email copy), Yandex Translate (translating a non-Russian comment into Russian), SmartCaptcha (the "not a robot" check on the form), Yandex Mail (the Operator's mailbox, where inbound mail is forwarded);
• Telegram FZ-LLC — to deliver the booking notification to the clinic's staff;
• Government bodies — only when required by law.

7. Cookies

The Website uses only technical cookies, strictly necessary to remember your interface preferences (theme, language). No advertising or third-party tracking cookies are set.

8. Security

Data is transmitted over HTTPS. Access is restricted to a minimal number of authorised personnel. We take reasonable organisational and technical measures in line with applicable regulations to protect personal data against unauthorised access, modification or disclosure.

9. Your rights

You may at any time:

• Request information about the processing of your personal data;
• Request correction, blocking or deletion of inaccurate or unlawfully processed data;
• Withdraw your consent;
• File a complaint with the Federal Service for Supervision of Communications, Information Technology and Mass Media (Roskomnadzor).
